Key Job Responsibilities:
To provide executive personal assistance and administrative support to the Group Chief Executive Officer (GCEO) and Executive Chairman (EC) Director. The incumbent is expected to work independently in managing personal and business support needs by both GCEO and EC internal and external coordination with other departments and organizations on behalf of the GCEO.
Job Descriptions
Completes a broad variety of administrative tasks for the GCEO/EC including managing an extremely active calendar of appointments, arranging complex and detailed travel plans, itineraries, and agendas as well as compiling documents for travel-related meetings
Plans, coordinates and ensures the GCEO/EC 's schedule is followed and respected. Acts as "gatekeeper" and "gateway" in facilitating direct access to the GCEO/EC 's time and office
Composing and preparing correspondence on behalf of GCEO & EC; monitors and responds to emails; research required information or background on organizations and individuals.
Sets up meeting files, scheduling, and calendaring meetings, sets meeting agendas, setting location, time, and appropriate duration, identifying, inviting, and confirming participants, facility arrangements where required.
Prepare travel arrangements, expense reports, and all items needed to ensure the GCEO & EC’s successful focus on external relations and organizational growth.
Provide a bridge for clear communication and maintain credibility, trust, and support between the office of the GCEO & EC and staff.
Manage the GCEO & EC’s officeensuring the proper documentation and record keeping
Filter general information, queries, phone calls and invitations to the GCEO & EC’s office by redirecting or taking forward such contact as appropriate.
Occasionally take notes/dictation/minutes at meetings or to provide general assistance during business trips.
Maintain strict confidentiality and interact professionally with all levels of personnel, clients, and business partners.
Works closely and effectively with the the GCEO & EC and ensure they are fully briefed on, or prepared for engagements they are involved in, any upcoming commitments and responsibilities, following up appropriately.
Undertake ad-hoc administrative tasks and project support, as directed by the GCEO/EC
Job Requirement:
Candidates must possess at least a Bachelor's Degree or equivalent with minimum 3-5 years of high level, complex executive administration working experience;
Required language(s): English, Bahasa Malaysia
Good computer literacy (MS Office, Excel, PowerPoint);
Fluent in English and Malay language;
Exceptional written and oral communication skills;
Strong organizational skills, with the ability to prioritize and perform multiple tasks
Able to work under pressure and to tight deadlines;
Attention to detail is mandatory & having good communication skills
Must have presentable appearance
Possess own transport & willing to travel
A good and effective problem-solver with a likeable personality
Job Types: Full-time, Contract
Salary: From RM3,608.00 per month
Schedule: Monday to Friday
